Q: Does my mailbox have to be moved?
A: Yes. We are willing to postpone the move for your convenience, but sooner or later it will have to take place. The current Microsoft Exchange server installed at the Institute will be closed in the early months of 2011. The decision to rely on a remote service to fulfill users’ demands for ever increasing amounts of e-mail storage was unavoidable, because an installation of comparable capacity at the EUI would have had unreasonable costs.

Q: Do I risk losing any of my messages or other mailbox items?
A: No. The migration procedure is safe and your messages will all be moved to the new location.

Q: I have my EUI e-mail autoforwarded to an external account. Will the autoforwarding still work after my mailbox is moved to the new system?
A: Yes, the autoforwarding that was set up before will continue to work after the move. During the actual time of the move, however, autoforwarding will be suspended. No messages will be lost, but any messages that arrive while autoforwarding is suspended will be available only in the EUI mailbox. This is true even if your forwarding options are not ordinarily set to leave a copy of mail at the EUI address.

A: No, you will NOT be moved yet because currently Outlook cannot be used with the new system here at the Institute. Be sure to contact your Site Office to have your move postponed until the final phase.

Q: I normally access my mail via an e-mail client configured for IMAP. Can I still use it after the move?
A: No. IMAP access is not yet supported. Although your mailbox move can be postponed till among the last (contact your Site Office about this), nevertheless you will have to foresee a period of some months during which you will not be able to use IMAP. The alternatives are BPOS WebMail or a POP3 client.

A: Yes, but only Outlook 2003/2007 for Windows and Outlook 2011 for Mac are supported. You will have to re-configure Outlook according to the parameters provided for Windows Outlook or Mac Outlook.

Q: Is BPOS WebMail compatible with IE only and/or does it work with other browsers as well?
A: It is recommended that you enter BPOS WebMail for the first time via Internet Explorer or Firefox to make sure that its auto-configuration completes properly. After that, exactly as with the old Postoffice WebMail, BPOS is compatible with all major existing browsers (FireFox, Chrome, Opera, Safari, etc.) but you will not have some of its advanced features available when using a browser different from Internet Explorer.

Q: Why do I have to change my password before being able to use the new system?
A: A change of password is needed in order to allow synchronisation between your EUI account (password) and the new mail system. Once this is done, you can use one and the same password to access all EUI computing resources including the new mail system.

Q: How do I change my password after the move so as to be able to access all services again?
A: If you login on an EUI PC in one of the computer rooms, you will immediately be forced to change your password. Otherwise, go to the page https://postoffice.eui.eu/setpass/.

Q: I am a Mac user, I successfully changed my password, I can login to the BPOS Webmail or to EUI computers using my new password, but my Mac e-mail client is still not working and/or states the username/password is incorrect.
A: The problem is not directly related to the new mail system. You may have stored/saved your previous password in Mac's Keychain. You will need to delete all related passwords in the keychain first. Please refer to Mac Known Issues for step-by-step instructions.

Q: Will Microsoft be “responsible” for my mailbox?
A: The remote e-mail servers will be located on Microsoft's premises and operated by Microsoft. We set up, however, a service contract with a precise legal framework to guarantee privacy and data protection. One of the advantages of a paid service is that we are guaranteed the location where data are stored. In our case the premises are in Europe: specifically, the main Microsoft datacenter is in Ireland and its backup datacenter is in the Netherlands. Since the data remain physically located within Europe, Microsoft is under the obligation to respect the European laws on privacy (EU Directive 95/46 ff.). In particular, the system administrators cannot access the contents of the mailboxes unless a justified request is issued by a judicial entity, in which case the user would be informed. As far as the day-to-day management of the e-mail servers is concerned, the service is indeed operated by Microsoft but following our rules and we are in direct contact with them.

Q: What happened to the Public Folders?
A: Public Folders are not available under BPOS anymore. All relevant categories have been set up in the new EUI Forum. Importing of old entries from the Public Folders to the new Forum is managed directly by the relevant category "moderator" (person in charge).

Q: Will Citrix still be working while my account is disabled for the move?
A: All programs in execution should continue to run, but as at the end of the move you will have to change your password any access to resources after the change will fail. Therefore it is suggested that users organise their work in such a way that no Citrix jobs will be running during the move.
